Breda University of Applied Sciences

Every year, the Unexpected Journey organisation welcomes new students. To introduce the students to the city of Breda, Breda University of Applied Sciences (BUas) and their fellow students, the organisation of Unexpected Journey organises various activities. These general terms and conditions have been drawn up for the Unexpected Journey introduction week for the participating programmes of the Academy for Leisure & Events, Academy for Tourism and the Academy for AI, Games & Media.

If a student(s) takes part in the introduction week Unexpected Journey 2025 of Breda University of Applied Sciences, these general terms and conditions apply. By registering for the introduction week, the participant automatically agrees to these following terms and conditions. It is therefore only possible to take part in the introduction week when he/she agrees to the general terms and conditions.

The following terms are used in the general terms and conditions:

  • Participant: first-year student or senior student participating in the programme of the introduction week. It also includes collaborative partners, suppliers of goods and/or services hired by the organisation of the introduction week and guests.
  • Organisation of introduction week: organisation of Breda University of Applied Sciences’ introduction week Unexpected Journey 2025;
  • Introduction week: the full programme organised by the induction week organisation between the start of setting up on 18 August 2025 and the end of wrapping up on 1 September 2025.
  • Event site: the premises and/or buildings where activities of the introduction week take place.
  • Event: Unexpected Journey introduction week.

Article 1 – Participation

1.1 Students may only participate in the introduction week if they are fully admitted to one of the participating programmes of the Academy for Leisure & Events, Academy for Tourism or Academy for AI, Games & Media of Breda University of Applied Sciences;

1.2 The cost for participation in the introduction programme is €180. This price includes participation in all programme components, your own introduction shirt, various meals at the introduction location and a place to stay overnight.

1.3 The participant is required to wear the Unexpected Journey introduction shirt during the Unexpected Journey programme;

1.4 Admission to the introduction week is allowed only upon valid registration and upon presentation of a valid ID;

1.5 During the introduction week, the participant will be accompanied as part of a class by two or more senior students, called Hoppassen.

1.6 The participant has to continue participating in the programme of the introduction week. It is therefore not allowed to leave the introduction week (prematurely) without permission from the organisation. If a participant does not comply with these rules, he/she will be excluded from further participation in the activities of the introduction week. There will be no (partial) refund of the registration fee;

1.7 External visitors will only be admitted to the introduction location(s) if the organisation of the introduction week invites them or gives permission to attend. Breda University of Applied Sciences is not responsible for theft of and/or damage to personal property and/or for physical or mental injury as a result of visiting/participating in Unexpected Journey. This includes damage to the visitor’s hearing.

Article 2 – Agreement

Once a reservation is paid and therefore finalised, the participant enters into an agreement with the organisation of the introduction week, by which the participant declares to have read and agreed to these general terms and conditions.

Article 3 – Nutrition and medication

A participant who has certain allergies, diet or other medical condition should inform the organisation about his/her allergy/diet/medical condition in advance. This information is requested in the registration form, which must be completed to participate in the introduction week. This measure allows the organisation to offer alternative meals for specific conditions/diets. If the participant does not inform the organisation of the introduction week about allergies and/or dietary requirements, the organisation of the introduction week and Breda University of Applied Sciences are not liable for any consequences.

Article 4 – Locations

On Monday 25 August the programme will take place on the BUas campus. From Tuesday 26 to Friday 29 August, the programme takes place at Tulderheyde campsite in Ravels, Belgium. The following conditions apply there:

4.1 A participant is only allowed on the event grounds or at the designated locations. If he/she is outside these areas, the organisation of the introduction week has the authority to deny further participation in the introduction week;

4.2 It is not permitted to close open doors or open closed doors without instructions from the organisation of the introduction week. This is with the exception of sanitary facilities;

4.3 It is not permitted to move introduction week materials, without being requested to do so by the organisation of the introduction week, within the event grounds;

4.4 It is not permitted to climb on and/or stand on tables, benches or other furniture;

4.5 The use of confetti/party poppers (all paper and plastic scatterers) brought by participants themselves is not permitted to prevent damage to the environment. If a participant does bring their own confetti/party poppers, these will be confiscated by the organisation. If participants do bring their own confetti, sanctions will follow, which will be determined by the organisation of the introduction week;

Article 5 – Payment

A participant registers individually.

5.1 The total amount (180,00 euros) must be transferred to the organisation of the introduction week by means of an online payment prior to the introduction week. This payment should be made via the website more.buas.nl;

5.2 If the total amount is not paid prior to the introduction week, the registration will be considered invalid and the reservation will be cancelled.

Article 6 – Cancellation

6.1 It is possible to cancel a registration free of charge until 11 August 2025. After this date no refund of the registration fee is possible if the participant wishes to cancel. An exception is made for students who withdraw their registration with Breda University of Applied Sciences in Studielink. They can cancel free of charge up to one day prior to the introduction week.

6.2 The organisation of the introduction week reserves the right to cancel the introduction week. They will also determine when there is a case of force majeure (see article 9) resulting in the cancellation of the introduction week. In both cases, there will be no refund of registration fees at that time.

Article 7 – Privacy

7.1 The introduction week organisation follows the AVG legislation. For more information on the AVG legislation, please refer to the following web site https://gdpr.eu/what-is-gdpr/

7.2 Partners of Unexpected Journey who, with the permission of the organisation of the introduction week, may send an e-mail to the participant once per organisation. The participant can indicate whether he/she is interested in receiving an e-mail on the registration form.

7.3 The participant agrees that his/her phone number may be used before, during and after the induction week. It will only be used for Unexpected Journey-related purposes.

Article 8 – Arriving late

If the participant arrives late at the agreed location, the original programme of the introduction week will not be adjusted. The participant is not entitled to a refund of (part of) the registration fee.

Article 9 – Force majeure

Under certain circumstances, it can be decided on the basis of force majeure to cancel (certain activities within) the programme or the entire introduction week. If, in the opinion of the organisation of the introduction week, these circumstances are considered dangerous, it can be decided that (the activities within) the programme of the introduction week will be cancelled. There will be no refund of registration fees. This regulation covers circumstances such as: social unrest, strongly disturbed public order, legal prohibitions, orders from authorities, emergency ordinances, terrorism, extreme weather, etc. The organisation of the introduction week will determine in consultation with Breda University of Applied Sciences whether force majeure applies.

Article 10 – Participation and exclusion

10.1 Following directions

Directions from the organisation of the introduction week must be followed by the participant at all times for the sake of safety, order and programme sequence. If a participant refuses to follow the instructions, the organisation of the introduction week has the right to exclude the participant in question from further participation in the introduction week. In such a case, a participant is not entitled to a refund of the registration fee or any part thereof;

10.2 Assessment of condition of participant

10.2.1. The participant is and remains responsible for assessing whether he/she is sufficiently socially and physically fit to participate in the introduction week;

10.2.2. The organisation of the introduction week is entitled to deny a participant (further) participation in the introduction week if, in the opinion of the organisation of the introduction week, the condition of the participant concerned endangers the safety of the participant himself or others.

10.3 Alcohol and/or drug use

10.3.1 The organisation of the introduction week is entitled to deny a participant (further) participation in the introduction week if the participant is in an apparent state of intoxication or apparently under the influence of narcotics.

10.3.2 The use and possession of drugs is not permitted. In case of suspected possession of drugs and/or drug use, the organisation of the introduction week reserves the right to deny the participant in question further participation in the introduction week. This also applies to (excessive) alcohol consumption;

10.3.3 Participants under the age of 18 are not allowed to buy, receive and/or consume alcoholic beverages. It is also not permitted to sell and/or provide alcoholic beverages to persons under the age of 18.

Article 11 – Responsibility for others and the environment

The participant undertakes to treat classmates, other participants, the organisation of the introduction week and the location(s) with respect. The participant should make every effort to prevent damage to other participants and/or the location at all times.

Article 12 – Damage to belongings/property, clothing and footwear

12.1 The organisation of the introduction week and Breda University of Applied Sciences are not liable for personal belongings being damaged, lost or stolen during the introduction week. Bringing valuables is entirely at the risk of the participant. Under no circumstances can the participant leave his/her belongings in places other than the event grounds.

12.1.1 The participant has the option to leave personal belongings at the introduction location in the sleeping tents. However, this is entirely at the participant’s own risk.

12.1.2 Wearing (or possessing) items such as jewellery, necklaces, bracelets, earrings, telephones and the like is entirely at the participant’s own risk

12.2 The participant must wear appropriate clothing and footwear. The risk of damage to clothing and footwear is the responsibility of the participant.

Article 13 – Liability for damages in the event of accidents

Participation in the introduction week is entirely at the participant’s own risk. Physical injury incurred during participation in/visit to the introduction week cannot be recovered from the organisation of the introduction week or Breda University of Applied Sciences. Participation in the introduction week is not entirely risk-free. The participant should make sure that bodily harm may occur. The organisation of the introduction week will do everything possible to prevent such injury, but it is impossible to exclude the risk of accidents. Because of the nature of the event, it is of the utmost importance that the participant of the introduction week complies with the provisions of article 10.1, to prevent bodily harm. Except in the case of intent or gross negligence, the organisation of the introduction week and Breda University of Applied Sciences are not liable for any form of damage, including consequential damage suffered by the organisation of the introduction week and/or the participant as a result of accidents that occur during the entire programme, the build-up and/or dismantling.

Article 14 – Damage provision

14.1 The participant is liable to the organisers of the introduction week for damage caused by the participant’s acts or failure to act, insofar as this damage can be attributed to the participant. This includes, but is not limited to, damage to or the loss of materials issued to the participant by the organisation of the introduction week, damage to (the contents of) the location or damage to third parties for which the organisation of the introduction week or Breda University of Applied Sciences can be held liable. The organisation of the introduction week and Breda University of Applied Sciences reserves the right to recover any damage to property from the person who caused the damage or the person responsible in cases of intent and/or gross negligence. This includes misuse of fire alarms and/or damage to fire prevention equipment. In case of theft, police will be notified.

14.2 The organisation of the introduction week and Breda University of Applied Sciences cannot be held liable for damage caused to property of participants and visitors.

Article 15 – Calamities and emergencies

In the event of an emergency, the evacuation plan/evacuation plan will be triggered.

15.1 The participant must immediately follow this plan and follow instructions from the organisation of the introduction week. If the participant fails to do so, the participant will be liable for all damage incurred, insofar as it can be attributed to him/her.

15.2 In case a calamity occurs, the instructions of both emergency response staff (BHV) and employees of emergency services must be followed at all times. The participant will therefore always have to be vigilant for possible situations that may occur.

15.3 If the participant sees a situation that could lead to problems, he or she should report it immediately to one of the staff members and/or to the organisation of the introduction week.

Article 16 – Use of recorded images and footage

Photos and video may be recorded during the introduction week. By agreeing to the general terms and conditions, the participant declares that he/she agrees to possible use for marketing and communication purposes by the organisation of the introduction week and Breda University of Applied Sciences.

Article 17 – (Electric) smoking

Breda University of Applied Sciences has a smoke-free policy on its own grounds. This policy also applies during the introduction week. (Electric) smoking is only allowed in designated areas. The organisation of the introduction week has the authority to deny participants who smoke in places other than the designated areas further participation in the introduction week and to remove them from the event grounds.

Article 18 – Use of smoke, sound and lighting effects

Smoke, sound and/or light effects may possibly be deployed during the event. The participant should be aware of this and hereby agrees to all possible risks involved.

Article 19 – Code of conduct

BUas’ mission implies that we set high standards for ourselves and each other. Not only in terms of the necessary quality and quantity of output, but also in terms of desired behaviour. This is why a new BUas Code of Conduct is being developed. If a student(s) participates in the introduction week Unexpected Journey 2025 of Breda University of Applied Sciences, this Code of Conduct applies.

At BUas, everyone’s contribution to our diverse and intercultural community is respected and valued. The Code of Conduct provides guidance on how we treat each other; with integrity and respect. This Code of Conduct applies to all BUas staff, students and visitors, based on our shared community values. The Code of Conduct is not optional and has been specified and established in regulations adopted by the appropriate bodies of BUas. These regulations are thus an elaboration of the Code of Conduct.
